Sorry for the Crypto, AIM is AOL Instant Messenger, which a few have already mentioned having.

It comes in pc and mac flavours and is free (you do have to register with AOL but only for AIM at no cost to you).

The easiest way to get everyone together is that one of us invites everyone else to a buddy chat that sets up a private chat room (I think) that then we go from there.  It has a save feature that allows to record the chat stream.

It works behind our work firewall so it is pretty good in that regard.

Thanks to JohnR for his input; he's gone through this sort of thing
before with the DQPA, so his input is invaluable. 

As to the forum to use, JohnR, what is the "AIM" you spoke of?  If
everyone can use it, I think we would be foolish to ignore your
recommendation.  If we need to download software, let's get the info
now so that everyone can be ready by the time we plan to meet.
